This policy applies to all purchase orders and agreements between Scientific Cosmetix &#8211; Professional Hair Labs and its clients.<\/li>\n<li><strong>Eligibility for Refunds &amp; Replacements<\/strong><br \/>\nRefunds or replacements will only be considered under the following conditions:<\/li>\n<\/ol>\n<ul>\n<li><strong>Manufacturing Defects<\/strong>: If a product fails to meet agreed-upon specifications and falls outside of the <strong>ISO GMP standards<\/strong>.<\/li>\n<li><strong>Quality Issues<\/strong>: If contamination, microbial growth, or non-conformance is verified by our <strong>Quality Control Team<\/strong>.<\/li>\n<li><strong>Regulatory Non-Compliance<\/strong>: If a product violates cosmetic regulations (EU Cosmetics Regulation, FDA guidelines, ISO 22716, etc.).<\/li>\n<li><strong>Incorrect Order Fulfilment<\/strong>: If the wrong product was delivered due to our error.<\/li>\n<\/ul>\n<ol start=\"3\">\n<li><strong> Quality-Approved Standards &amp; Complaint Handling<\/strong><br \/>\nThe company adheres to strict <strong>ISO GMP guidelines<\/strong>, ensuring that all products meet quality-approved standards before shipment. <strong>Quality-approved standards<\/strong> refer to products that fall within the limits and tolerances set out in <strong>ISO GMP Guidelines<\/strong>.<\/li>\n<\/ol>\n<p>However, if a customer raises a complaint about a product that has passed quality control but is perceived as defective, the following steps will be taken:<\/p>\n<ul>\n<li>The customer must provide <strong>detailed evidence<\/strong> (batch number, images\/videos, and a description of the issue).<\/li>\n<li>The <strong>Quality Control &amp; Regulatory Team<\/strong> will assess whether the complaint falls outside of the defined quality-approved tolerances.<\/li>\n<li>If the product conforms to <strong>ISO GMP tolerances<\/strong>, it will not be considered defective, and no refund or replacement will be provided.<\/li>\n<li>If the product <strong>exceeds the allowable deviation limits<\/strong>, it will be classified as a manufacturing defect and eligible for refund or replacement.<\/li>\n<\/ul>\n<ol start=\"4\">\n<li><strong> Non-Refundable Cases<\/strong><br \/>\nThe following cases are <strong>not eligible<\/strong> for refunds or replacements:<\/li>\n<\/ol>\n<ul>\n<li><strong>Change of Mind<\/strong>: Orders cannot be refunded if the customer changes their mind.<\/li>\n<li><strong>Brand-Specific Claims<\/strong>: If the issue is related to marketing claims made by the brand and not a defect in manufacturing, the responsibility lies with the brand.<\/li>\n<li><strong>Storage &amp; Handling Issues<\/strong>: If the defect resulted from improper storage by the customer (temperature, humidity, etc.).<\/li>\n<li><strong>Normal Variations<\/strong>: Slight differences in colour, texture, or scent that do not impact safety or efficacy.<\/li>\n<li><strong>Raw Material Issues from Ingredient Suppliers<\/strong>: The company is not responsible for raw material-related issues, including delays in delivery or stability concerns. In cases where stability issues may arise, we will communicate with the ingredient supplier to seek a resolution and refer to an agreed resolution option referenced in section 5 below.<\/li>\n<\/ul>\n<ol start=\"5\">\n<li><strong> Refund Request Process<\/strong><\/li>\n<\/ol>\n<ul>\n<li>Complaints must be submitted within <strong>14 days<\/strong> of receipt through one of the following channels:\n<ul>\n<li><strong>Email:<\/strong> complaints@prohairlabs.com<\/li>\n<li><strong>Phone:<\/strong> +353539178582<\/li>\n<li><strong>Website Complaint Form:<\/strong> <a href=\"https:\/\/www.prohairlabs.com\/zh\/custom-formula-complaint-form\/\">Click Here<\/a><\/li>\n<\/ul>\n<\/li>\n<li>The following information must be provided:\n<ul>\n<li><strong>Batch Number<\/strong> (found on the product packaging)<\/li>\n<li><strong>Photo\/Video Evidence<\/strong> clearly showing the issue<\/li>\n<li><strong>Description of the Problem<\/strong><\/li>\n<\/ul>\n<\/li>\n<li>The <strong>Regulatory &amp; Quality Assurance Teams<\/strong> will investigate and respond within <strong>14 business days<\/strong>.<\/li>\n<li>If the products must be returned to the manufacturing facility, <strong>it will be at the clients expense<\/strong> until the investigation can be completed and validated.<\/li>\n<\/ul>\n<ol start=\"6\">\n<li><strong> Resolution Options<\/strong><br \/>\nIf a complaint is <strong>validated<\/strong>, the following resolution options will be offered:<\/li>\n<\/ol>\n<ul>\n<li><strong>Replacement of defective goods<\/strong> (preferred option)<\/li>\n<li><strong>Partial refund<\/strong> (only if replacement is not possible)<\/li>\n<li><strong>Credit toward a future order<\/strong> (if agreed upon)<\/li>\n<\/ul>\n<ol start=\"7\">\n<li><strong> Return Policy for Defective Products<\/strong><\/li>\n<\/ol>\n<ul>\n<li>Defective products <strong>must be returned<\/strong> to the manufacturer before a refund is processed.<\/li>\n<li>Return shipping costs will be covered by the manufacturer <strong>only if the defect is confirmed<\/strong>.<\/li>\n<\/ul>\n<ul>\n<li>If the goods are deemed faulty and require replacement, the return shipping cost will be reimbursed, <strong>capped at the original shipping cost<\/strong>.<\/li>\n<\/ul>\n<ul>\n<li>If no defect is found, the buyer must cover shipping expenses.<\/li>\n<\/ul>\n<ol start=\"8\">\n<li><strong> Final Approval &amp; Disclaimer<\/strong><\/li>\n<\/ol>\n<ul>\n<li>Once an order is approved and dispatched, the manufacturer <strong>is not liable<\/strong> for product claims made by the brand.<\/li>\n<li>Any disputes will be handled through <strong>arbitration under Irish law<\/strong>.<\/li>\n<\/ul>\n<p>For further inquiries, please contact<strong>\u00a0Customer Support<\/strong> at cs@prohairlabs.com<\/p>","protected":false},"excerpt":{"rendered":"<p>Refund &amp; Replacement Policy Effective Date: January 1st, 2025 Last Updated: December 19th, 2024 Purpose &amp; Scope This policy outlines the conditions under which refunds and replacements are issued for cosmetic products manufactured by Scientific Cosmetix..
